I. TIMEFRAME FOR APPLICATIONS

One of the more prevalent questions asked of the IGA is "What happens to an application once it is received by the General Office?", or "Why does it take so long to find out if our application has been funded?"

In the past several years, the IGA has received well in excess of 100 applications each year, so the process of assignment and review does take a significant amount of time. IGA Directors review each application thoroughly, ensuring each and every application for funding is considered on its own merit, and against the set criteria found on this website.

The following steps are taken with any and all applications received by IGA.

1. Applications are accepted by the IGA office on or before November 1st.

2. All applications are then copied, bound and sent to the IGA Chairman for initial review and assignment to individual Directors for their assessment. Depending on the nature and amount of individual requests to IGA, one or more IGA Directors may review individual proposals. Applications are usually sent to the IGA Chair on or about November 15th.

3. Following notice of assignments to the IGA office, individual proposals assigned to Directors by the Chairman are then sent to each IGA Director. This occurs on or about December 1st.

4. IGA Directors then have about one month to review each proposal assigned to them, make assessments on each proposal, contact the applicant for clarification on any outstanding issues, and discuss proposals with other Directors (if it is a shared proposal). Assessments of all proposals are then sent back to the IGA General Office on or about January 1st.

5. All assessments returned by IGA Directors are then organized, bound and sent to each IGA Director and Controller, such that each of them can be familiar with each and every proposal accepted by the application deadline. These assessments are returned to Directors on or about January 15th.

6. All applications are summarized, either by the applicant or the IGA office, with this summary also accompanying the final information sent to each Director. This information is then sent to each supporting association of IGA - the Grenfell Association of America, the New England Grenfell Association or the Grenfell Association of Great Britain and Ireland. The Directors of each supporting association can then review information prior to the IGA Board meeting for the awarding of grants.

7. The most crucial step in the process is the IGA Board meeting for the review and awarding of grants amongst all those proposals meeting the criteria for applicants and the deadline for review. This meeting - in St. John's, Boston, Montreal or New York- is held on or about March 15th.

8. The final step in the process is about a two-week internal verification of funds awarded, carried out by the general office in conjunction with the supporting associations. All applicants are notified of funding or rejection by April 1st.

Funding of projects usually commences on or about June 1st, in a manner coincident with the timeframe and nature of the initial request. Depending on this timeframe, funds are distributed in installments and can take up to one year.

Any additional questions on the timeframe for applications, or any other matter relating to the IGA, will gladly be accepted by the IGA General Office.
